Order to Delivery Senior Manager - Scania Local Project

The role as a Order to Delivery Senior Manager will initially be related to define processes and systems, purchase, them simulate them and assure their implementation in the project phase for all order and outbound activities. After the project phase, Order to Delivery Senior Manager will lead the transition to an operational phase, being responsible to plan, execute and track sales planning, in accordance with all the requirements of safety, agility, cost and quality.
Main activities for this role are:
1.1 – Project Phase:
1 – Establish order to delivery and outbound processes together with Sales, Production and Logistics, including Dealer Network;
2 – Develop order to delivery and outbound process mapping, focusing a lean and agile process by continuous improvement;
3 – Support sales planning with all business demands, simulation, optimization, agility and easiness requirements;
4 – Order handling: assure data processing for volume planning, standards, process and systems;
5 – Build a strong team spirit (including also P&L), opened to debate ideas, with respect and trust, including internal suppliers and customers;
6 – Skilled to understand complexes scenarios where conflict resolution do not generate common understanding in order to prepare and execute a detailed escalation process with all the required information to allow not only a clear debate, but also transparent decisions, without compromise compliance, due dates and costs;
7 – Implement a project scope tracking, with project manager tools, with constant status report and decisions meetings to make sure that all project demands will be address according to HERO time tables;
8 – Late Changes: process mapping and system´s implementation to launch process in the project phase, considering long, medium and short term disciplines, process and system´s. It is also necessary to attend weekly allocation process, taking into consideration Scania standards and adapt them to Hero;
9 – Attend all purchasing process requirements, data, documents, KPI´s to correctly launch the RFQ´s, in accordance with all process, quality, purchasing and quality standards and requirements and track all the RFQ process to assure its implementation in accordance with project milestones and due dates;
10 – Develop the technical standards and book of requirements to concept, build and implement a new sales yard, with all the best in quality process, methods and technologies to assure people safety, process agility and a low cost operational, with easiness and zero waste guidelines;
11 – Be able to develop the standard and launch the RFQ to implement a service provider to manage the yard, in accordance of quality, cost, agility, compliance and to attend all sales demands;
12 – Develop the internal yard sales´ system to manage the stock in accordance with sales demands, generating the required reports;
13 – Yard stock management: be able to attend sales and finance requirements and to support company´s stock level strategies. Be directly connect with sales with the guidelines of agility and quality;
14 – Assure, by all means, truck quality: a strong check in process to assure trucks quality from plant, their quality inside the yard, from the very beginning to the end of transportation, in all handover activities, until the dealer;
15 – Be able to implement a fee process to assure yard´s and supplier´s quality non-costs if any damage occur;
16 – Be able to implement a yard with all safety standards, to guarantee, by all means, people´s integrity from any kind of danger sources. Implement a constant audit process to make sure that every activity is safe and, if a deviation occur, to fast isolate the area and guarantee people´s safety. Implement, track and share strong safety KPI´s dashboard;
17 – Transportation: be able to launch and implement its RFQ and assure all sales, process, costs, agility and compliance standards;
18 – Be able to implement a claim and insurance process to guarantee the correct use of company´s cash flow and to guarantee truck´s quality if a damage occuer, prior to dealer´s delivery. All the reworks due to quality claim´s should be track by this position;
19 – Implement an internal system to allow all trucks deliveries tracking to all destination, customers and KPI´s
20 – Certificates: map and develop the process to guarantee the certificates integrity, accuracy, storage, express deliveries tracking, from the factory, inside the yard, in transportation, until the properly reception by dealers/customers. Implement a process to attend customers demands to reprint the documents with factory;
21 – Order: guarantee process develop, mapping and implementation of system´s and tools to assure project, transition and operational phase requirements, attending all sales demands (agility, easiness and no waste guidelines);
22 – Be able to be the link and connect order requirements with PMO and IT to assure its implementation or bridge plans;
23 – Assure that any gaps, different points of views and involved areas are included in any discussion to assure a correct implementation, gap and risk analysis;
24 – Be the link with P&L to guarantee that sales order will be correct implemented in the system and processed, assuring the truck delivery with all the specs, timing and quality demanded by the customer;
25 – Yard integrity: develop a yard with all construction guidelines to prevent losses or quality issues regarding natural phenomenon or disaster, such as heavy rain to typhoon, with a fast drainage and to do not allow that any construction cause any damage to people or trucks;
25 – Goals: develop process to target sales volume, profitability, inventory, time to delivery and others KPI to achieve an efficient and agile process.
1.2 – Operational Phase:
1 – Plan and track sales planning and its execution, pushing the system for a constant volume increasing and process improvement, in a respectful and ethical environment;
2 – Be responsible to input, track and report system´s performance and constraints, regarding order transportation and yard´s supplier and performance;
3 – Be responsible to plan and get together all internal suppliers and customers to minimize risks, resolute constraints, bottlenecks and disruptions, in order to equalize different points of view with high standard competencies of negotiation and resilience;
4 – Order Handling: complete support O2D team to handle order intake from dealers, place orders to factory and follow up orders in pipeline, assuring the correct data processing and volume planning for production, in accordance with sales request. Follow ordering process and systems, but continuously challenge it for improvement and optimization for the end user;
5 – Be able to understand complexes scenarios where conflict resolution do not generate common understanding in order to prepare and execute a detailed escalation process with all the required information to allow not only a clear debate but also transparent decisions, without compromise compliance, due date and sales deliveries.
6 – Capable to understand results and deliverables and improve a simple and direct KPI´s to complete track evolution and allow action plans to put on track any deviation. Assure target achievements, provide transparency in the whole process, bottlenecks, disruptions, responsibility and fast response.
7 – Prepare and share all documents and files to fulfill sales request, yard and transportation management and trucks deliveries to dealers and customers to address it to decision on volume and mix decision meetings.
8 – Late Changes: be able to understand and analyze sales forecasting or late changes requirements, in terms of transportation and yard´s capacity, share them with all the stakeholders and address its demands, considering process for long, medium and short terms disciplines for long, medium and short term disciplines. It is also necessary to attend weekly allocation process, taking into consideration Scania standards and adapt them to Hero.
9 – Implement a strong order tracking process, from sales request to confirmation, order pipeline in the production, trucks handover from factory, yard and transportation management and dealers handover;
10 – Implement a strong and extremely transparent, consistent, learning oriented with fast implementation of actions from deviation, including safety, process, quality and costs, including deviations from natural phenomena’s or disasters;
11 – Implement a strong system to manage stock, transportation and yard´s suppliers, process, KPI´s, quality, costs and improvements, with constant tracking and report;
12 – Implement a strong continuous improvement process, customer and people safety oriented, with easiness and zero waste guidelines. Safety by all means!
13 – Implement a quarterly risk and compliance management program to assure order, outbound and suppliers integrity and with continuous improvement and strong process guidelines;
14 – Be able to develop a strong control tower from order to dealer, with all steps, system´s and reports to attend sales and business demands;
15 – Be able to be the link and connect order requirements with PMO and IT to assure its implementation or bridge plans;
16 – Assure that any gaps, different points of views and involved areas are included in any discussion to assure a correct implementation, gap and risk analysis;
17 – Be the link with P&L to guarantee that sales order will be correct implemented in the system and processed, assuring the truck delivery with all the specs, timing and quality demanded by the customer;
18 – Inventory: implement all system´s and tools to follow all profitability and company guidelines, attending all strategic demands and to proper assure customer demands. It is mandatory to implement an audit process to assure inventory accuracy;
19 – Goals: develop, share, track and assure target sales volume, profitability, inventory, time to delivery and others KPI to achieve an efficient and agile process, according with company policies and adjust them to Hero demands.
